WhatsApp for clinics: the six messages worth automating first

Which patient messages to automate on the official WhatsApp Business Platform, what each template says in Arabic and English, timing, and the consent rules.

Every clinic in Egypt and the Gulf already runs on WhatsApp. The question is whether it runs on a receptionist's personal phone, typing the same confirmation forty times a day, or on the official WhatsApp Business Platform, where the clinic system sends approved templates automatically and the conversation history belongs to the clinic. Here are the six messages to automate first, in the order they pay back.

1. Appointment confirmation, immediately

Sent the moment a booking is saved. Include patient name, date, time, service, practitioner and branch, and a reply option to reschedule. This message alone removes most "did you book me?" calls.

Hello {name}, your appointment is confirmed. Date {date}, time {time}, service {service}, with {practitioner} at {branch}. Please arrive 10 minutes early. Reply to reschedule.

2. Reminder, 24 hours before

Short, with the same details and a confirm button. Patients who confirm rarely no-show; patients who do not answer get a call from reception in the morning.

3. Reminder, 2 hours before

Even shorter. The purpose is the traffic decision, not the memory.

4. Follow-up, 2 hours after the session

"Thank you for visiting. If you have any concerns about today's session, reply here." This is the message that catches reactions early and generates the reviews. It also opens a 24-hour customer-service window in which the clinic can send free-form replies.

5. Invoice receipt, on payment

Amount, invoice number, date, and what remains on the package. Patients keep it; it also stops the "I paid already" disputes at the next visit.

6. Payment reminder, 7 days after an invoice is overdue

Polite, with the amount and a payment link. Sent once, then handed to a human.

Birthday wishes, when consent allows

A greeting with a small offer. It is the only marketing message in this list, and it only goes to patients who ticked the marketing box.

Timing and language

Send in the patient's language. Arabic templates and English templates are approved separately, and each patient record should hold the preferred one. Avoid sending before 9 am or after 9 pm, and avoid Friday mornings.

Consent and the rules that protect your number

  • Transactional messages (confirmations, reminders, receipts) go to any patient with a phone number and treatment consent.
  • Marketing messages need explicit marketing consent, captured at registration and revocable at any time.
  • Every template is submitted to Meta for approval and categorised as utility or marketing. Marketing templates cost more and are rate-limited by your number's quality rating.
  • A number that sends unwanted messages gets its quality rating downgraded and then blocked. Respecting opt-outs is not a courtesy; it is how the number survives.

What to measure

  • Confirmation rate on the 24-hour reminder.
  • No-shows per week, before and after.
  • Replies to the follow-up, and how fast reception answers them.
  • Template delivery and read rates from the platform.

Set these six up, watch the numbers for a month, and only then add campaigns. The utility messages are where the return is; the campaigns are what most clinics start with and give up on.
