Best clinic management software in Saudi Arabia in 2026: what to compare

Saudi buyer's guide for laser and beauty clinics: 15% VAT, mada and STC Pay, ZATCA e-invoicing, PDPL data rules, Arabic first, packages and multi-branch books.

Most "best clinic software" lists are written for a general practice in Europe or the United States and then republished for the Gulf. A laser or dermatology clinic in Riyadh, Jeddah or Al Khobar has different questions: does every invoice carry 15% VAT with the fields ZATCA expects, does the mada settlement reconcile with the receipts, will reception work in Arabic, and can the owner see the Riyadh and Jeddah branches on one profit and loss statement. This guide starts from those questions, criteria first and software second.

The eight criteria that matter in Saudi Arabia

  1. VAT at 15% on every taxable line. The rate belongs on each service and product in the catalog, printed as its own line, with sequential invoice numbering per branch and a VAT report for the accountant at period end.
  2. ZATCA e-invoicing as a question you ask early. Saudi Arabia is rolling out e-invoicing in waves by revenue threshold. Ask every vendor which phase their invoices satisfy for a clinic your size, and ask to see a generated invoice, not a slide.
  3. mada, STC Pay, cards, cash and bank as separate journals. Daily reconciliation is by payment method. Each should be its own journal so the settlement report matches the system to the halala, with online payment links for patients who pay before arriving.
  4. Arabic first, English alongside. Right-to-left layouts, Arabic invoices and receipts, Arabic WhatsApp templates, and a language choice per staff member.
  5. Patient data treated as sensitive data. The Personal Data Protection Law treats health data as sensitive. Look for an isolated database per clinic, encrypted photos, phone-number masking by role, two-factor logins and audit logs.
  6. Official WhatsApp Business. Confirmations, reminders and receipts through the WhatsApp Business Platform with approved templates.
  7. Packages, rooms and devices. Laser and beauty clinics sell sessions in packages, deliver them in rooms with expensive devices, and consume gel, tips and pulses per session. A general-clinic system will not model any of that.
  8. Multi-branch and multi-country on one ledger. Chains that run Riyadh and Jeddah, or Saudi Arabia and Egypt, need one chart of accounts, cost centers per branch and consolidated reporting, each branch in its own currency.

How the categories of software compare

Category Where it fits Where it falls short for a Saudi aesthetic clinic
Global practice-management platforms Large feature sets, mature portals Priced in dollars, no mada or STC Pay journals, little or no Arabic, no packages of sessions
Regional general-clinic systems Arabic, WhatsApp, local support Built for a doctor and a visit; packages, room calendars and consumables are add-ons or absent; accounting is exported, not kept
Dental-first systems Strong charting Wrong workflow for laser and beauty; no shot counters or per-session consumables
Clinic ERPs built for aesthetic chains Packages, rooms, consumables, a real ledger, multi-currency Fewer of them exist; check the vendor's VAT and e-invoicing answers against your own revenue band

Where Xtudio fits

Xtudio is in the last category and serves clinics across Egypt, Kuwait and Saudi Arabia from one platform, with each clinic in its own currency. Against the eight criteria:

  • 15% VAT per service and product, printed as its own line, sequential numbering per branch, and VAT reports for the accountant.
  • E-invoicing scope confirmed for your clinic during the demo, against the wave your revenue puts you in.
  • Cash, mada, STC Pay, card and bank each recorded as their own journal, with online payment links through the gateway you already use.
  • Arabic and English side by side, right-to-left throughout, per-user language.
  • Isolated database per clinic, encrypted photos, phone masking, two-factor authentication and audit logs, built for the Personal Data Protection Law's treatment of health data.
  • Official WhatsApp Business Platform templates and automations.
  • Packages of sessions, room and device calendars, consumables and laser pulses per session, and a service profitability report built from them.
  • One ledger across branches and countries, with cost centers, fixed assets and consolidated owner reporting.

Details, screens and Saudi-specific FAQs are on the Saudi Arabia page. Saudi clinics are quoted and invoiced in riyals, with a 14-day trial and onboarding, migration and training included.

How to run the evaluation

Bring one real patient journey and ask every vendor to walk it end to end on their live system: sell a six-session laser package with 15% VAT and a deposit paid by mada, book session one in a room, complete it with consumables, collect the balance, then cancel session two and show what reverses in stock, the package, the VAT report and the ledger. Thirty minutes of that tells you more than any feature list, including this one.
